1. Introduction Ashton-under-Lyne Cricket, Bowling and Tennis Club (“the Club”) is committed to protecting the privacy and security of our members’ personal information. This notice applies to all members, players, parents/guardians, volunteers, officials, and non-members who participate in Club activities.

What Information We Collect We may collect and process the following personal data: For Adult Members and Non-Members • Name and contact details (address, email, telephone number) • Date of birth (where relevant) • Match, competition, training, or event participation (cricket, bowling, or tennis) • Medical or accessibility information (only if relevant for health and safety) For Junior Members (Under 18s) • Child’s name, date of birth, and contact details (if appropriate) • Parent/guardian name and contact information • Emergency contact details • Relevant medical information (e.g. allergies, health conditions) • Participation and performance records (matches, training sessions, events)
3. How We Collect Personal Data We collect personal data when: • Membership or registration forms are completed (online or on paper) • Parents/guardians register children for junior cricket, bowling, or tennis • Individuals volunteer, coach, officiate, or attend Club events • Players take part in matches, competitions, or training sessions • You communicate with us via email, phone, or social media

How We Use Personal Data We use personal data to: • Manage Club membership and player registrations • Organise training, fixtures, and competitions across cricket, bowling, and tennis • Ensure the health, safety, and safeguarding of all participants • Communicate relevant Club updates, fixtures, and social events • Administer payments, subscriptions, and Club records • Comply with legal, safeguarding, and insurance requirements For junior members, personal data may also used to maintain contact with parents/guardians regarding Club activities and welfare matters.
5. Lawful Basis for Processing The Club processes personal data under the following lawful bases: • Contractual necessity – to administer membership and participation • Legitimate interests – to operate the Club efficiently and promote activities • Consent – for marketing, photography, or promotional purposes • Legal obligation – to meet safeguarding or insurance requirements
6. Parent/Guardian Consent (for Juniors) For players under 18, parental or guardian consent is required for: • Holding the child’s personal and medical information • Emergency contact purposes • Participation in matches, training sessions, and events • Use of photos or videos for promotional or social media purposes (if applicable) Consent can be withdrawn at any time by contacting the Club Secretary.
7. Data Sharing We only share data where necessary, for example with: • The England and Wales Cricket Board (ECB), County Cricket Boards, or relevant bowling and tennis governing bodies • Club coaches, captains, and welfare officers for administration and safeguarding • Insurers, first aiders, or medical staff in case of emergency • Trusted service providers (e.g. membership systems or communication platforms) We do not sell or share personal data with third parties for marketing purposes.
8. Data Retention Personal data will be retained only as long as necessary for Club purposes or to meet legal obligations. Basic contact and participation details may be kept for historical or statistical records unless deletion is requested.
9. Safeguarding and Data Security The Club takes safeguarding seriously. Access to junior member data is restricted to individuals who require it for Club administration, coaching, or welfare purposes. All electronic data is stored securely and password-protected. Paper records are kept safely and disposed of securely when no longer required.
